Business Coordinator

Business Coordinator

Offices of the CAO and COO | Memphis Art Museum
Full-time, on-site, 12-month term contract with the possibility of becoming permanent
Reports to: Chief Administrative Officer and Chief Operating Officer

About the opportunity

In December 2026, the Memphis Art Museum opens a new home on the downtown riverfront: a $222 million, architecturally significant building on the Mississippi River and the most important chapter in the museum's history. Getting it open, and running it well once it is, takes an exceptional team.

You will be the Business Coordinator for two of the museum's senior leaders. The Chief Operating Officer drives external growth, revenue, and public-facing programs. The Chief Administrative Officer owns internal infrastructure, budget, and day-to-day administrative operations. Together they run the museum's business operations. You keep them both moving.

This is a high-trust seat during a once-in-a-generation moment for the museum. We are looking for someone sharp, proactive, and unflappable who can support two busy executives with different priorities and make it look easy. You do not need a museum background. You do need to be data-driven, organized, and able to manage conflicting priorities on tight deadlines.

What you will own

Support for two executives, balanced with judgment. You are the connective tissue between the CAO and the COO. You triage what each leader needs and keep both moving forward without letting anything slip. When their priorities compete, you make sound judgment calls to keep the most important work on track, and when the right call is not obvious, you go back to both leaders to confirm alignment rather than guessing.

Documents, reports, and spreadsheets. You prepare and polish the materials leadership runs on: reports, presentations, and supporting documents for budget, KPI, and planning conversations. You work fluently in spreadsheets, building, maintaining, and cleaning up the trackers and budget and KPI materials these leaders rely on.

Support for the opening. You provide hands-on administrative support for opening the new building, helping the CAO and COO manage the countless moving pieces a project of this scale demands.

Cross-department coordination. You coordinate administrative functions and communication across departments and business units, supporting both the external, programmatic side of the house and the internal, operational side. You manage across calendars with a clear sense of organizational and leadership priorities.

Discretion with sensitive information. You handle confidential material, including budget, financial, and personnel information, with complete discretion and professionalism.

Why this role matters

This is not a background job. You are supporting two of the leaders responsible for the museum's daily operations and its historic opening, which means you will see how the whole organization works and have a direct hand in keeping it running. It is a rare vantage point and a real opportunity to prove yourself. The position begins as a 12-month term contract with a genuine path to permanent for the person who makes themselves indispensable.

Who you are

  • Exceptionally organized, able to balance competing priorities across two executives without dropping details.
  • Confident in spreadsheets, able to build and maintain trackers, budgets, and reports.
  • Comfortable asking for priority alignment when things are unclear, and equally willing to make a sound judgment call based on the evidence in front of you.
  • Proactive and anticipatory: you solve problems before they land and do not wait to be asked.
  • A clear, professional communicator in writing and in person.
  • Calm and reliable under pressure, especially during a high-stakes period like an opening.

  • Discreet and trustworthy with confidential information.
  • A strong collaborator who works smoothly with two leaders and the teams around them.
  • Comfortable with the Google Workspace suite. Familiarity with Monday Work Management is a plus.
  • Available for the occasional demands that come with supporting executives during a major museum opening.

Compensation and terms

Full-time, 12-month term contract with the possibility of converting to a permanent position based on performance and organizational need.
